Q. We are considering rolling out a new project management system, but we want to make sure it actually gets used by our employees. Do you have any suggestions for increasing adoption of new systems?
Adoption of new systems can be a persistent challenge, especially when you try to force adoption after the system is implemented. The key is to get end-user "buy-in" well before the system is even purchased. So, start any software project by collecting a requirements "wish list" from the eventual users of the system. Also pay attention to what they do not want. Keep them involved in the selection process. If the eventual implementation reflects their wishes, they will be eager to adopt the system
Another key aspect of system adoption is ease of use. The easier the system is to use, the more likely users will be to use it. A difficult user interface will surely push users away. Ease-of-use also ties into value. If the users believe that the system helps them to their job more easily and efficiently, they will use it.
At RiverGuide for Construction Software, we've found that mandates and threats rarely increase adoption. Typically these threats are bluffs anyways; it is very difficult to discipline an employee for not using a system when they are otherwise doing a good job..
