PlanRoom Administration
Settings overview

The first person from a company who creates the PlanRoom account will automatically be the PlanRoom administrator. The first page the admin sees is a welcome page which will allow you to add your colleagues. To access the administration area, click on the cog wheel at the top right of the screen. In this section, you can add new users, delete users, update a user’s role, add your company logo, view email templates, and view the CSI codes.

As an Admin, you will add users to your company PlanRoom. The invited users can be a host or an admin; there is no limit on the number of admins a company can have. Each user will receive an email with a link to create their registration and can easily complete this task since most information will be pre-filled, based on what the admin created.

To add a user, click on the plus sign and complete the fields - First and last name, email address, select role (admin or host) then click Invite users.

Available roles and permissions:

  • Host User – Permissions included below
    • Create projects
    • Share projects (that they are hosting)
    • Upload documents
    • Add notes
    • Add/Edit contacts
    • Update contacts
    • Edit projects (that they are hosting)
  • Admin – Able to do anything a host can do, plus the following
    • Add user
    • Update User Role
    • Add Company Logo
    • View Company CSI Codes
    • View email templates
    • Edit Host projects

Invitees – have no access to your plan room, they only have access to the specific projects you have shared with them.

Company

When you upload your company logo, it will brand your plan room as well as all your communications. To upload, go to Settings, click on the Company section, and upload your logo by dragging the file into the box with the dashed outline, or by clicking within that box to browse your computer for your logo file. It will immediately be viewable, however, any users already in the system must log out and back in again to view the change.

View Email Templates
In the Admin Settings, under Email, Admin users may view all email templates being sent from the system. Click on each of the email subjects to view the actual text of the message.

Adding CSI Codes

PlanRoom has Division and the first digit of the Section code from MasterFormat 2016 available for use. Many times, this is enough, but for some divisions, additional digits are required to find the CSI codes you work with. PlanRoom allows the user to add the codes they need.

From settings, click CSI Codes to enter new codes. Users can view a complete list of the codes in their PlanRoom, and at the top of that page, is an Add Code button. Users can add as many codes as needed:

Once you click Add CSI Codes, you will get a form to enter the code and the name/description of the code.

These codes will then appear when updating codes for contacts or adding scopes of work to projects.
